Rental Policy

This Rental Policy applies to all mobile golf simulator rental bookings with GOLFSIMS2U ("we," "us," or "our") and works alongside our Terms and Conditions and Privacy Policy. Please review it before booking.

1.Booking and Deposit

  • A rental booking is confirmed once you receive a confirmation from us and submit a deposit.
  • Deposit: 50% of the total rental cost is due at the time of booking to hold your date and rate. If your booking is made 14 or more days in advance, you have a 72-hour grace period from booking to cancel for a full refund of your deposit. After any applicable grace period, 50% of the deposit becomes non-refundable, and within 72 hours of the event 100% of the deposit becomes non-refundable.
  • Payment in full: The remaining balance is due at least 72 hours prior to the event.
  • Late payment: If payment in full is not received by that deadline, GOLFSIMS2U reserves the right to cancel the booking, and the deposit will not be refunded.

2.Travel Fees

Our standard service area is centered on Plainfield, Indiana. Travel fees are based on one-way distance from Plainfield, IN to the event location:

Applicable travel fees will be included in your quote and booking confirmation prior to payment of your deposit.

Staffing: Our on-site staffing for setup, operation support, and teardown is always included in your quoted rate. Staffing is never itemized or billed separately.

3.Rental Period

  • Your rental period begins and ends at the times specified in your booking confirmation, which include our setup and teardown time.
  • Overtime: If you'd like to extend your session on-site, additional time is billed in 30-minute increments. Overtime must be confirmed verbally with our on-site staff at the time of the event and will be followed up in writing/invoice.
  • We recommend booking extra buffer time for larger events to avoid rushed teardown.

4.Setup Location Requirements

To ensure a safe and successful setup, the rental location must have:

  • Space: Minimum ceiling height and floor footprint as communicated prior to booking (varies by package/screen size)
  • Surface: A flat, stable, and level surface — indoor space is preferred; outdoor setups require prior approval and are weather-dependent
  • Power: A working standard electrical outlet within reasonable extension cord distance
  • Access: Clear, reasonably accessible path for carrying and setting up equipment (stairs, tight doorways, or long carry distances should be flagged when booking)

It is the customer's responsibility to confirm the setup location meets these requirements before the scheduled appointment. If the space is not suitable upon arrival, we reserve the right to decline setup, and our cancellation terms will apply.

5.Weather / Outdoor Contingency Policy

For outdoor setups, weather-related contingencies are agreed with each client in advance — before booking is confirmed — and outlined in your booking agreement. Depending on your event and venue, your agreement will specify which of the following options apply:

  • Reschedule: Your event is moved to another available date at no additional charge.
  • Indoor pivot: If an indoor backup space is available at your venue, we relocate the simulator setup indoors and proceed with your event as planned.
  • Refund: If neither rescheduling nor an indoor pivot is possible or desired, refund terms will follow the applicable cancellation terms in Section 6, as specified in your booking agreement.

Because every venue and event is different, the specific weather contingency plan (and which of the above options are available to you) will be discussed and confirmed in writing prior to your deposit and booking confirmation. We will make reasonable efforts to make a weather-related call as early as possible before your event, based on the forecast.

6.Cancellations, Rescheduling, and Refunds

Cancellations

  • A 50% deposit (half of the total booking price) is due at booking to hold your date and rate.
  • If your booking is made 14 or more days in advance of your event, you receive a 72-hour grace period from the time of booking to cancel for a full refund of your deposit.
  • After any applicable grace period, 50% of the deposit becomes non-refundable.
  • Payment in full is due at least 72 hours prior to the event.
  • Within 72 hours of the event, 100% of the deposit becomes non-refundable.

Cancellation notice must be provided in writing. The date and time the cancellation notice is received will determine the applicable refund.

  • Rescheduling: We're happy to help reschedule your event to another available date, subject to availability, at no additional charge if requested with reasonable notice. Your deposit can typically be applied to the new date.
  • Our cancellations: If we must cancel due to circumstances beyond our control (weather, equipment failure, illness, etc.), we will offer a full refund of all amounts paid, including the deposit, or a rescheduled date at no additional cost.
  • No-shows: If our team arrives for setup and cannot reach you or access the agreed setup location within a reasonable window, the booking may be treated as a customer cancellation inside 72 hours, and no refund will be issued.

7.Equipment Care and Damage

  • Our equipment, including screens, projectors, launch monitors, hitting mats, and enclosures, is provided in good working condition.
  • Customers and guests are expected to use only approved clubs and balls with the simulator and to follow all safety guidance from our staff at setup.
  • Customers are financially responsible for damage to equipment resulting from misuse, negligence, unauthorized equipment, or violation of this policy, beyond normal wear and tear. We will provide documentation of any damage and associated repair/replacement costs.
  • Please keep food, drinks, and open flames a safe distance from all equipment.

8.Assumption of Risk and Waiver

Participating in golf simulator activities carries inherent risks, including risk of injury from swinging clubs, moving equipment, or striking golf balls. All participants (or a parent/guardian for minors) may be required to sign a liability waiver prior to use of the equipment at each event. Use of the equipment without a signed waiver on file is not permitted.

By booking with GOLFSIMS2U, the customer agrees to ensure all guests using the equipment are informed of and agree to these risks.

9.Supervision

The customer (or a designated adult representative) is responsible for the general supervision and conduct of guests during the rental period, including ensuring minors are supervised while using the equipment.

10.Alcohol and Guest Conduct

If alcohol is present at your event, guests using the simulator should do so responsibly. GOLFSIMS2U reserves the right to pause or end a session if guest conduct poses a safety risk to people or equipment.
